Workstation descriptions

You can find more detailed descriptions of the contents and tasks of every workstation below. Some workstations and -tasks might include specific requirements regarding the age, language skills, physical traits or education and qualifications of the applicant. Part of the workstations include shifts also during nighttime. If the workstation description states that the workstation includes night shifts, it means that part of the shift (or the whole shift) can be scheduled between 22-06. All workstations that include night shifts do not include shifts that endure through the night.

Boffering / Foam Weapon Fighting

The boffering point is a low-threshold introduction and trial for the sport. As a volunteer you will be running the open fighting area and/or the children’s boffering area while taking care of the overall safety and giving out information about boffering as a sport and as a hobby. Tournaments and chances of building your own foam weapon are also arranged. Please describe your experience with the hobby and preferred tasks in the open field of the application.

Cosplay assistant

The role of cosplay assistants is to aid with the organization of the costume program. Assistants are assigned to different tasks based on their preferences and skills.

Info assistants register the sign-ups of Costume Contest participants and inform them about schedules and photography. Judge assistants manage the judging schedule and assist the judges. Contestant assistants ensure that their assigned contestants stay on schedule and that they have everything they need during the competition day.

Ropecon Week Helper

The preconvention assistant helps with a variety of tasks during Ropecon’s pre-convention week 20. – 23.7. Your tasks include assisting the program organizers in opening their program, assisting with the AV technology, keeping the program on time, guiding participants into the programs they are looking for, including outdoors from the train station to the central park, setting out refreshments and snacks for attendees and keeping Rauhanasema clean. Tasks may also include carrying things, however they are generally not too heavy. Other tasks may be added, depending on what type of program is offered to Ropecon week.

We are looking for a few people who have a hygiene passport. We are also looking for a few people, who have first aid training. If you have a hygiene passport or a first aid certificate, please make sure that your qualifications can be found on Kompassi and please mention these in your application.

Please note: workshifts will be on Monday-Thursday during Ropecon week. Tasks may include being outside, however there are also indoor shifts available. Shifts are available during the day and evening 11 AM to 11 PM.

Miniature painting station

Miniature painting station is a beginner-friendly activity space where attendees can try their hand at miniature painting.The miniature painting station has a few different types of tasks that volunteers perform.

  • the general cleanliness and order of the miniature painting station
  • Handing out painting supplies to convention attendees
  • handing out miniatures to convention attendees
  • giving guidance and tips on miniature painting

Performing these tasks well does not require previous skills in miniature painting, but experience with miniature painting and painting supplies will be counted as an advantage in your application.

This year we are also looking for shift supervisors for the miniature painting station. The tasks of the shift supervisors include keeping an eye on the general order of the miniature painting station, emptying the trash, water buckets and letting other volunteers take their breaks, as well as resolve any problems or issues that may arise during their shift.

We are looking for volunteers that have previous experience of similar tasks. If you are interested in being a shift supervisor, let us know in your application and also tell us about your previous experience.

At the miniature painting station you can also apply to be a miniature workshop program runner. The miniature workshop program runners are responsible for the workshop space and the program in that space. The miniature workshops program runner’s responsibilities include assisting the workshop’s program organizer setting up the workshop materials, and assisting with the use of workshop materials. The miniature workshop program runner is also responsible for making sure that the space is clean after the workshop has ended. 

If you are interested in a specific role at the miniature painting station, please let us know in your application and describe your experience with miniature painting or similar tasks.

Miniature painting competition assistant

Competition assistants help the contestants in delivering and retrieving their art for the contest, guide visitors in viewing the art and voting for the contest categories, and look after the gallery area and all artworks there. Working as an assistant is compatible with entering the contest yourself as well.

We are also looking for speed painting competition assistants.Their responsibilities include: handing out miniatures to contestants, opening the competition, ending the competition, as well as different kinds of announcements during the competitions. Workshifts follow the opening hours of the exhibition area, however some assistants can take workshifts outside of the opening hours of the convention, helping the assembly and disassembly of the competition area and on Saturday during judging. If you are interested in the aforementioned special tasks, please let us know it in your application. Let us also know about any previous experience you may have with miniature painting or similar work experience in your application.

Anti-harassment personnel

Anti-harassment personnel operate as listeners and support persons for people who have encountered harassment, and they are developing Ropecon to be an even safer space for everyone. Anti-harassment personnel at Ropecon are required to have participated in a previous anti-harassment training or have work experience as anti-harassment personnel: when filling in the application, please state in the open section which training you have taken and any previous work experience you may have in the field. Before the con-weekend we will also brief the anti-harassment personnel on the specifics of Ropecon.

Info desk

Personnel at the info desk answer the convention attendees’ questions and solve their problems during the event. Working at the info one will gain customer service experience, resourcefulness and problem solving skills. Although info knows the answer to everything, the volunteers are only expected to have the willingness to be in customer service, as all possible information will be provided for you.

Security Steward

In order to supervise the security of the attendees at the event venue one must have a valid security steward’s license and customer service oriented mindset. PLEASE NOTE that  you can’t opt for this assignment in your application if you haven’t filled in your security steward’s license number to your qualifications in Kompassi.

After Party

Organizing the Ropecon after party for all volunteers who have worked on the event. After Party volunteering includes cooking, setting up the spaces, keeping the space tidy, cleaning after and possibly going to the wholesale store, however you have chance to influence to your specific tasks.. Driver’s license, experience working in a kitchen or organizing events are not needed, but are a definite plus. The after party will take place after the event weekend, usually Monday right after convention but date will be locked as soon as possible.

Flea market

Flea market volunteers are taking care of the flea market area. Tasks include selling products by using the Kirppu system, advising customers and sellers, organizing the market items in the sales desks and making sure that the market area is in good order. The shifts will take place throughout the opening hours of the Flea Market. However, the majority of the available volunteer shifts will take place on Friday between 1 and 6 p.m. and on Sunday between 2 and 4 p.m.

Experience point assistant

Assistants at the game experience point help the visitors at finding a game they would like. They also help the board game library with the games, finding gaming companies and teach board games they are familiar with. You don’t need to know the rules of all games in the library, but a wide range of knowledge on board games is a plus.

Service desk for larp and role-playing games

Service desk for larp and role-playing games guides both the attendees and game masters regarding matters related to larping and role-playing games.

Larp-runner

The larp runner assists the larp organizers in the execution of game programmes. The tasks may for example include delivering props and other supplies, assisting with the technology devices of the rooms and other errands that require moving between various event venue areas. Larp runners deliver water and drink containers for the participants of the game programme.

Childcare facilities

Being responsible for the childcare facilities’ maintenance and functionality.

Ticket sales: General

Ticket sales is responsible for selling the entry tickets with cash and card payment terminal, verifying the presale tickets and for exchanging them into wristbands and badges. Ticket sales is also responsible for the distribution of volunteer badges. Customer service experience is an advantage, but having a positive attitude is key!

Ticket sales: Presale Ticket Exchange

Presale ticket exchange includes checking presale tickets, exchanging them for wristbands and handing out lanyards to volunteers and vendors at the sales area before the opening of Ropecon. The exchange booth can be located either at Library Oodi, Rauhanasema, the Pasila library, or at Messukeskus. The location of the booth will be included in the workshift, but you can make requests. Workshifts are on Thursdays between 12 AM and 8 PM and on Friday 8 AM and 3 PM.

Logistics

In logistics, you help carry items from the Club room to the event venue and back.
No special skills are required.It’s enough that you’re able to lift smartstore boxes and moving boxes of various sizes into vans. There is a need for people with a category B- driver’s licence.

Shifts take place outside of Ropecon opening hours, starting on Thursday of the event week, a bit on Friday and then on Sunday when the event closes.

On Sunday, it will be acquired that logistics take a part in assisting Rapu in dismantling the messukeskus as soon as everything has been moved to the Club room.

Program runner

Program runner greets the program organizer, helps program organizers with any practical issues they might have, such as opening the door to the room for the program organizer and the audience, starting up the program, IT and room technology device related issues and making sure that the program ends on schedule. Program runners also make sure that the rooms are empty between programs, that the rooms aren’t filled to over capacity. This requires the program runner to keep the queue under control, when the doors to the room are opened. This isn’t always a simple task and requires bravery to tell people, sometimes sternly, If there are technical problems the program runner calls for technical support and assists in solving the problems, where they are able to do so.

In addition to this, program runners make sure that workshops have the materials they need, and that presentation and discussion halls have water available for the speakers. In addition, program runners’ tasks may for example include supervision of prop or art exhibition areas.

This year we are also looking for shift supervisors for this work station. We are looking for people, who have previous experience of being program runners at Ropecon, and who can advise other program runners if need be. If you are interested in being a shift supervisor of program runners, and describe your previous experience let us know in your application.

Accommodations supervisor

Accommodation supervisors are responsible for the supervision, maintenance and safety of the floor accommodation hall. Working shifts are mainly during the nighttime between 10 PM and 6 AM. Accommodation supervisors are needed also during the volunteers’ accommodation between Thursday and Friday night.

Note: Most of the work will be done during the nighttime (between 10 PM and 6 AM). The workstation is located in the accommodation hall, in which the lights are off during the night time so the surrounding area in this workstation is dark.

Moderator

Moderators administrate the discussion on Ropecon’s online platforms and remove inappropriate content when needed. Moderators help and guide people, solve problems and help finding the right people in charge. The primary online platform for the event alongside the on-site event is Discord, but moderating might also happen on Youtube or Twitch. Moderators can work either on-site at the event or remotely. Working as a moderator doesn’t require any special qualifications or a pre-existing skillset, but an interest in the tools of the platform. Help and support are included.

Sales Booth

The volunteers at the convention sales booth (Ropecon Shop) keep it moving. The responsibilities at the sales booth, depending on your workshift, include: assembling and dissassembling the booth, selling convention merchandise, handing out preordered products, and keeping track of stock and restocking items. The work is sales service oriented and fast-paced, but no previous experience is required. You will receive a short orientation into your responsibilities at the beginning of your first work shift. A positive attitude and an eye for detail is all you need!

Cloak room

Receiving, storing and handling clothes, bags, luggage and other items that attendees drop off at the cloakroom. Previous experience is not required.

Games desk and board game library

The games desk guides both the visitors and the game masters on the miniature games, card and board games, contests and programmes at the experience desk. You would need to help people with game schedules, locations and sign ups (via Konsti application). You will also assist visitors at the adjacent board game library in choosing games, lending them out and checking them back in. Shelving board games and other upkeep of the library are part of the job. The games desk and the board game library will remain open around the clock, so there are also night shifts on offer.

Building and dismantling

Building and dismantling team will assist in the setting up of the event and dismaniling everything. No special skills are needed, as long as you have the strength to move tables, chairs and other items and attach signs. Majority of the shifts will take place Thu 9am-6pm, Fri 8am-4pm and Sun 4pm-midnight.

Staff room

The responsibilities of the staff room include maintaining the cleanliness of the staff room and making sure there is enough food and beverages throughout the convention.The first workshifts in the staff room are on Friday morning ) AM onwards and the last workshifts end on Sunday around 8 PM. The staff room is open throughout the convention, which means that there are also night shifts available. We are also looking for shift supervisors, who have previous experience of similar tasks. If you are interested in being a shift supervisor, please let us know about it in your application, and also include information about your previous experience in working in the staff room.

AV technician

At this workstation, you will take part in producing the most challenging programs at Ropecon.The convention has two main halls and one smaller hall, where the most visually impressive programs are held, such as the Gala. The stage will be received as pre-prepared, but running the lights, sound and video will be operated by volunteers. Previous knowledge of sound mixing and lighting desks is an advantage, but one does not need to be a true wizard in handling them. The stage programmes have rehearsals where one can get to know the equipment and can test how they work. If you are available for the pre-programming of the lights during Thursday or Friday before Ropecon starts, please mention this in your application.

IT technician

The convention needs many laptops, computer mice, bar code readers, phones, printers, tablets and other tech equipment. The responsibilities of the tech volunteer staff includes delivering the devices into their places, checking briefly that they are working properly and gathering and packing them after use. During the event you also work as a help desk to simpler problems and forward more complicated issues to the experts. It is approximately enough that you can differentiate between USB and HDMI connectors and know how to restart Windows.

Video technician

The purpose of filming is to record the event for future generations and to those who could not attend the event. Mainly presentations and main stage programmes are recorded, but if one is eager also various interviews and feelgood clips can be filmed. The presentations are intended to be filmed and cut live so that they will be ready during the convention. This workstation is suitable for English speakers, but we cannot guarantee that you will be recording English programmes.

Area supervisor

Area supervisors are a part of the event’s security organization, but area monitors are not required to have a security steward licence. Area supervisors keep an eye on the security and usage of areas, and participate in monitoring fire safety. Their tasks include for example guiding the direction of queues, guiding event participants in queues, making attendance counts and monitoring the participants in some programs.

Tutor

Tutors are people who have been to Ropecon before and who can talk about Ropecon to first timer and host tutor tours. During tutor tours the tutor shows important sites and special locations to first timers and tells them about them. The tours are based on a tour guide, which is handed out to tutors in advance. Some of the tours are focussed on a specific topic, such as larping, or miniatures and the tour will go through topics focussed on these things. Tutors don’t need to know everything about Ropecon, it’s enough that you have been to Ropecon before and had fun there. There are 3-5 tutor tours daily with 1-3 tutors in attendance on every tour.

Social media team

Social media team creates and publishes content on the social media channels of Ropecon during the event under the guidance of the Social media coordinators. Content will include cheating scheduled content but also immortalizing the event as it takes place, mainly in the forms of reels and stories. As part of the team you might get a chance to assist in other communication tasks as well. We hope you have experience in creating social media posts independently and experience especially with Instagram.Social media team members need to be fluent in Finnish and take part in volunteer info and a social media introduction, both taking place online before the event.

Photographer

Ropecon’s designated photographers tour around the event taking pictures for Ropecon’s use. Pictures are needed during the event as well as for later use. The photographers are allowed to take pictures in accordance with their own skills, equipment and interests, but the work also requires some beforehand scheduled and agreed upon photography tasks (for example photography of certain programmes). We will assemble the photography team based on the applications and portfolios, so kindly tell us in the open section of the application what kind of a photographer you are and if you have previous experience photographing in the events. Kindly also add a link, for example to your website or social media website, into your application text so that we can take a look at your previous works.
