For Vendors and Exhibitors

Applications for stands in the Ropecon 2026 Vendor Hall open on April 7. We will start processing the applications in early May. All applications received by then will be taken equally into account. Applications for any remaining places will remain open until the end of May.

Vendor categories

The applicant should select a category that best describes the products sold and other activities at the stand:

  • Games and associated products
  • Books and comics
  • Arts and crafts (self-made)
  • Other vendors and exhibitors

The selected category influences the acceptance criteria for the application, the availability of different stand types, and the placement of the stand in the Vendor Hall. Clubs, associations, and events related to Ropecon may apply for a free promotional stand on a separate form.

Artists and artisans

Small vendors selling arts and crafts may apply for single-day stands in the Artist Market as well as for row stands and corner stands for artisans. Selections for these stands are made based on the submitted portfolio. Further requirements for these stands and instructions for creating a portfolio can be found on a separate page.

The application form for artists and artisans can be used for applying for a stand in the Artist Market, a row stand, and/or a two-table corner stand. Artists and artisans may also apply for larger stands using the general application form.


Stand packages

An exhibitor can only have one stand package, and it cannot be combined with other stands.

Corner stand (3 tables) 540 €

  • Includes three tables (200 x 70 cm), two chairs, and 600 W electricity.
  • Stand size 4 x 3 m.

Corner stand (2 tables) 360 €

  • Includes two tables (200 x 70 cm), two chairs, and 450 W electricity.
  • Stand size 3 x 3 m.

Row stand (1 table) 180 €

  • Includes one table (200 x 70 cm), two chairs, and 300 W electricity.
  • Stand size 3 x 2 m.
  • Available in categories Games and Books and comics on the general application form and in category Arts and crafts on a separate form by a submitted portfolio.

Artist Market stand 55 € / day

  • Includes one table (200 x 70 cm) and two chairs but no electricity.
  • Available in the category Arts and crafts by a submitted portfolio.
  • The exhibitor may not place their own furniture next to the table.

Promotional stand

  • Includes one table (200 x 70 cm), two chairs, one poster wall element (approximately 220 x 100 cm), and 300 W electricity.
  • Stand size 3 x 2 m.
  • Larger stands and additional furniture are available for a justified reason.
  • Only in the category Clubs, associations, and events.

Large stands

The price for larger stands is based on their size.

Island stand 290 € + 50 € / m2

  • Includes a separate 3600 W electrical connection.
  • The smaller dimension of the stand must be at least 4 m.
  • All sides face the public.

Peninsula stand 54 € / m2

  • Includes 50 W / m2 electricity.
  • The width of the end must be at least 6 m.
  • The length of the sides must be at least 3 m.
  • The end and both sides face the public.

Corner stand 54 € / m2

  • Includes 50 W / m2 electricity.
  • The length of the stand must be at least 5 m.
  • The depth of the stand is always 3 m.
  • One long and one short edge will face the public.

Entry

The price of the stand includes a reasonable number of vendor tickets. A vendor ticket permits access to the venue, but it does not allow participating in games and program items. The ticket is also an access pass to the Vendor Hall during building, dismantling, and maintenance hours. Vendor tickets are specific to the exhibitor. They can be exchanged into badges at any ticket sales counter.

You may order weekend tickets for 40 € each, when reserving your stand. Ordered tickets will be included on the same invoice as the stand.

Furniture and equipment

The price of the stand does not include carpets or wall elements. You may use your own furniture in the stand, with the exception of Artist Market stands. Additional tables (200 x 70 cm; 10 €), chairs (5 €), and poster wall elements (approximately 220 x 100 cm; 35 €) are available for rent.

The free public Wi-Fi is sufficient for most purposes. We charge for other network connections according to the costs.

It is possible to organize a program in the stand, if it is agreed in advance with the Vendor Hall coordinator.

The lighting in the Vendor Hall is somewhat dim. We recommend bringing your own lights.

The electricity consumption of the stand must not exceed the agreed limit, even temporarily. Separate electrical connections are available if the amount of electricity included in the price is insufficient. Such connections must be ordered no later than May 31. We charge for electrical connections according to the costs.
